DISTINGUISHING FEATURES OF THE CLASS
The Assistant for External Affairs will work with the Department of Citizen Services and the 311 Call and Resolution Center to transmit information to community organizations or groups, auxiliary groups of the Division, and other entities and individuals impacted by services and/or issues related to citizen participation and public safety. General supervision is received from the Division head with considerable leeway allowed for the exercise of independent judgment for planning and carrying out activities.
TYPICAL WORK ACTIVITIES
Helps to coordinate aspects of special citizen services events as they relate to different City of Buffalo Departments;
Performs clerical duties as they relate to the dissemination of Citizen Services and citizen participation information and policies and the maintenance of the Events calendar; Researches, analyzes and evaluates data and information and national best practice models to enhance the delivery of services to the citizens of the City of Buffalo;
Represents the Division of Citizen Services and 311 Call and Resolution Center at various Community Events throughout the city of Buffalo and providing technical assistance where needed;
Assists in the preparation of departmental reports to and from the Director of Citizen Services; Performs related duties as required.
FULL PERFORMANCE KNOWLEDGE, SKILLS, ABILITIES AND PERSONAL CHARACTERISTICS
Thorough knowledge of the fundamentals of programs, organizations, laws and ordinances governing the City’s operation;
Good knowledge of the citizen engagement processes and programs within the Division; Good knowledge of publicity and public relations principles, methods and techniques; Ability to plan, schedule, coordinate and help facilitate recreational meetings; Ability to express ideas clearly and concisely, both orally and in writing;
Ability to establish and maintain good working relationships with public and private agencies, community organizations, etc.
Ability to establish and maintain friendly relations with various stakeholders and groups; Self-motivation; tact; courtesy; willingness to work unusual hours;
Physical condition commensurate with the demands of the position;
MINIMUM QUALIFICATIONS
(A)Bachelor’s Degree from a college or university accredited by a regional, national, or specialized agency recognized as an accrediting agency by the U.S. Department of Education/U.S. Secretary of Education, (any major) and two years full-time experience dealing with special events, event planning and community/group organizing, and citizen participation;
OR
(B) Associate’s Degree from a college or university accredited by a regional, national, or specialized agency recognized as an accrediting agency by the U.S. Department of Education/U.S. Secretary of Education, (any major) and four years full-time experience dealing with the special events, event planning and community/group organizing, and citizen participation;
OR
(C) Graduation from High School, GED or Equivalency Diploma, plus at least 60 college credit hours from a college or university recognized as an accrediting agency by the U.S. Department of Education, U.S. Secretary of Education, and four years of full-time experience in the field of citizen participation and organizing;
OR
(D)An equivalent combination of the foregoing within the limits of A, B and C.
NOTE: Verifiable part-time/volunteer experience will be pro-rated to meet full-time experience requirements. (Proof of education must be presented at time of appointment.)
