Distinguishing Features of the Class

The incumbent performs critical and confidential duties under the direction of the Director of Treasury and Collections. Responsibilities include relieving the Director of administrative details, arranging conferences and meetings, and directing contacts to the appropriate sources. Duties require independent judgment, but no supervisory responsibilities are assigned.

Typical Work Activities

  • Performs confidential secretarial duties for the Director of Treasury and Collections.

  • Reviews and transmits messages and information to and from the Director.

  • Reviews and schedules requests for meetings, conferences, and appointments; prepares agendas and minutes.

  • Conveys confidential information to and from the Director.

  • Manages the flow of incoming and outgoing correspondence and information.

  • Reviews, drafts, and prepares routine correspondence, reports, and memoranda.

  • Maintains confidential files and records.

  • Assists in the preparation of confidential reports.

  • Acts as a receptionist for the Director.

  • Performs other related duties as assigned by the Director.

Full Performance Knowledge, Skills, Abilities, and Personal Characteristics

  • Good knowledge of the structure of the City of Buffalo government.

  • Good knowledge of office procedures, terminology, and practices.

  • Ability to operate a computer keyboard to produce letters, reports, and meeting minutes.

  • Ability to prepare accurate and concise correspondence, reports, and memoranda.

  • Strong oral and written communication skills.

  • Ability to understand and interpret written material.

  • Ability to establish and maintain effective working relationships.

  • Integrity, tact, resourcefulness, confidentiality, initiative, and good judgment.

  • Physical condition commensurate with the duties of the position.

Minimum Qualifications

  • Graduation from high school, GED, or equivalency diploma, plus at least four years of full-time responsible clerical experience, including experience using an alphanumeric keyboard;

    OR

  • An equivalent combination of education and experience sufficient to perform the duties of the position.

Note: Part-time experience may be prorated to meet full-time experience requirements. Proof of education must be presented at the time of appointment.
